An Analysis of the Employment Letter

From the employer’s viewpoint, there are many things about a letter that paint a mental picture of the applicant physically and characteristically. In general, an employee must be able, physically and mentally, to do the job; he must be eager for the type of work; and he must be able to live and work in peace with his fellow employees. The letter of application should be on a good grade of white, business stationery (8-1/2 inches by 11 inches), folded for a business-size envelope. Divide the letter into two sections: a hand written explanation of why the applicant is interested in the particular company; the other is a typed statistical report on the applicant. Legible handwriting, neatness, clarity, and correct spelling and sentence structure are essential. Simple, black-and-white, head and shoulders picture should be included. The picture should convey sincerity and straight forwardness. The personnel record should include data on height; weight; physical impairments; marital status; number of dependents; alcohol, tobacco, and drug habits; work preferences; and military status. The scholastic record should include secondary school and college course record. Describe also the details of the jobs you have held. Secure the permission of persons listed as references before their names are used. The best time to file the letter of application is in January, for anticipated June graduation. If no reply is received after a reasonable time, a second “quiet” reminder type letter may be effective.
